UTM Parameters Best Practices: A Naming Convention That Keeps GA4 Clean

Quick answer: UTM parameters are tags added to a URL (utm_source, utm_medium, utm_campaign, utm_content and utm_term) that tell GA4 where a visit came from. Best practice is to use lowercase values, a documented naming convention, standard medium values that match GA4 channel groups, a shared tracking sheet and never tagging internal links.

UTMs look simple, which is exactly why they get messy. One person writes "Facebook", another writes "fb", a third uses "social-paid", and six months later nobody can answer which channel drove the most demo requests. In the accounts I manage, fixing tagging is often the cheapest attribution win available. Here is the system I use with US small businesses and SaaS teams.

What UTM parameters are and how GA4 reads them

A UTM-tagged link looks like this:

https://example.com/pricing?utm_source=linkedin&utm_medium=paid_social&utm_campaign=q1_demo_push&utm_content=video_v2

When someone clicks it, GA4 reads the values and attributes the session to that source, medium and campaign. GA4 then uses source and medium to place the session into a default channel group such as Paid Social, Email or Organic Search.

ParameterWhat it answersRequired?Example values
utm_sourceWhich site or platform sent the visit?Yesgoogle, facebook, linkedin, newsletter
utm_mediumWhat type of traffic is it?Yescpc, paid_social, email, social, referral
utm_campaignWhich campaign or promotion?Strongly recommendedspring_sale_2026, webinar_march
utm_contentWhich ad, creative or link?Optionalcarousel_a, header_cta, video_v2
utm_termWhich keyword or audience?Optionalcrm_software, lookalike_1pct

GA4 also supports extra parameters such as utm_id and utm_source_platform, which are useful if you import cost data, but the five above cover most needs.

UTM parameters best practices for naming conventions

A naming convention is the single biggest factor in whether your UTM data is usable. These are the rules I put in writing for every team.

1. Lowercase everything

GA4 is case sensitive. "Email" and "email" become two rows. Lowercase removes the problem entirely.

2. Use one separator and no spaces

Pick underscores or hyphens and stick with it. Spaces turn into %20 or + and make reports ugly. I prefer underscores inside values: black_friday_2026.

3. Match medium values to GA4 channel groups

This is where most teams lose data. If your medium is "fb_ads" or "promo", GA4 may not recognize it and the traffic lands in Unassigned. Stick to well-understood values:

Check Google's default channel group definitions in the Analytics Help Center if you are unsure how a value will be classified.

4. Make campaign names readable and sortable

A format such as objective_offer_audience_date works well, for example leads_free_audit_smb_2026q1. Anyone on the team can understand it without a decoder ring.

5. Use utm_content to compare creatives

Since utm_campaign groups the whole effort, utm_content is where you separate individual ads, emails or link placements, such as hero_button versus footer_link.

Build a shared UTM tracking sheet

Conventions only work if people follow them. I set up a simple Google Sheet with:

  1. Dropdowns for source and medium so nobody can type a new variant.
  2. A campaign name builder that joins objective, offer, audience and date automatically.
  3. A formula that combines the base URL and parameters into the final link, forcing lowercase with LOWER().
  4. A log tab recording who created each link, when and for what.

Google also offers a free Campaign URL Builder, which is fine for one-off links, but a sheet keeps history and enforces your rules. Use a link shortener for printed materials or SMS when long URLs look awkward.

Platform-specific tips for UTM tracking

Google Ads

Leave auto-tagging on and link Google Ads to GA4. The gclid passes campaign, ad group and keyword data automatically, so manual UTMs are usually unnecessary. If you must add them, test carefully so manual and auto-tagged values do not conflict.

Meta (Facebook and Instagram)

Add tags in the URL parameters field at the ad level. Meta supports dynamic parameters such as {{campaign.name}} and {{ad.name}}, which fill in automatically - just make sure your campaign names in Ads Manager follow the same lowercase convention. Pair this with server-side tracking from my Meta Conversions API setup guide.

LinkedIn

LinkedIn Campaign Manager lets you add UTM tags to ad URLs, and it also supports dynamic values in some formats. Tag Thought Leader Ads and Sponsored Content consistently so you can compare them later.

Email platforms

Many email tools (Mailchimp, HubSpot, Klaviyo) can append UTMs automatically. Check the defaults - some use "Email" with a capital E or put the campaign name in an unexpected field.

Common UTM mistakes that break attribution

How to check UTM data in GA4

  1. Open Reports, then Acquisition, then Traffic acquisition.
  2. Change the primary dimension to "Session source / medium" or "Session campaign."
  3. Look for duplicates (different spellings of the same source) and for traffic in Unassigned.
  4. Use an exploration to break campaigns down by utm_content and compare key events.

Remember that UTMs tell you where traffic came from, but you also need the conversion side tracked properly. Pair this guide with my GA4 events setup guide so each tagged visit can be tied to the actions that matter.

UTM Parameters FAQ

Are UTM parameters case sensitive?

Yes. GA4 treats "Facebook", "facebook" and "FACEBOOK" as three different values, which splits your data across rows. The simplest fix is a rule that every UTM value is lowercase.

Do UTM parameters hurt SEO?

Not when used on links that point to your site from ads, email and social posts. Do not add UTMs to internal links or to links you want search engines to index, and make sure your pages have a canonical tag pointing to the clean URL.

Should I use UTM parameters on Google Ads links?

Usually not. Keep auto-tagging (the gclid) turned on and link Google Ads to GA4, which passes richer campaign data automatically. Add manual UTMs only if you have a specific reason and understand how they interact with auto-tagging.

What are the required UTM parameters?

utm_source and utm_medium are the essentials, and utm_campaign is strongly recommended for every link. utm_content and utm_term are optional and useful for comparing creatives, placements or keywords.

Why does my UTM traffic show as Unassigned in GA4?

GA4 sorts traffic into default channel groups based mostly on the source and medium values. If your medium is something it does not recognize, such as "fb-post" or "newsletter", the session often lands in Unassigned. Use standard medium values like cpc, paid_social, email and social.
